Location: Tallahassee, FL
Starting Salary: $41,359.19 (with a comprehensive benefits package, including an employer-paid pension contribution)
Eligibility: Employees may apply for the Public Service Loan Forgiveness Program (PSLF).
Position Overview:
We are seeking a dedicated Legal Secretary to provide vital administrative and secretarial support to our bar counsels. This role is essential in ensuring the smooth operation of our legal team and maintaining the integrity of our disciplinary files.
Education Requirements:
High School Diploma (or equivalent)
Experience Requirements:
A minimum of five (5) years of progressively responsible secretarial experience is required.
Key Responsibilities:
Maintain and monitor disciplinary files in our case management system, including importing emails, checking scanned documents, updating data, and tracking deadlines.
Type and finalize drafted pleadings, correspondence, meeting minutes, and agendas.
Coordinate monthly grievance committee meetings, assist committee members, and ensure member lists are up-to-date.
Handle public records requests through GOVQA.
Answer phone calls and make detailed case notes in the case management system.
Maintain bar counsels' calendars, coordinating meetings, depositions, and hearings, and update the calendar daily.
Receive and scan incoming mail into the case management system, and prepare outgoing mail.
Perform various administrative tasks, including managing office supplies and redacting confidential information.
Required Knowledge:
Strong understanding of spelling, punctuation, and grammar.
Familiarity with standard business formats and styles.
Proficiency in Adobe Acrobat and legal terminology.
Knowledge of the style and format of legal pleadings.
General office procedures and practices.
Skills:
Proficient in MS Office (Outlook, Word, Excel).
Competent in using personal computers and office equipment.
Basic arithmetic skills.
Abilities:
Ability to type at least sixty (60) correct words per minute.
Exceptional attention to detail.
Competence in organizing and prioritizing work effectively.
Excellent verbal and written communication skills.
Ability to operate well under pressure and thrive in a team environment.
Skillful in managing challenging situations with tact and professionalism.
Initiative in contributing to group projects and independent tasks.
Consistently demonstrate a service-oriented attitude.
Additional Requirements:
Basic knowledge of computers, printers, copiers, scanners, and postage meters.
Ability to sit for extended periods, engage in telephone conversations, and frequently use a computer.
Capability to lift 5 to 10 lbs.
